Your role as an Executive Assistant
The successful candidate will be a part of the Communications team based in Stockholm, working as an Assistant to the Global Head of Communications and External Affairs, and the Managing Director of Communications and a Director. As an Executive Assistant, you'll work in a dynamic, fast-paced environment where no two days are the same. You’ll provide support and service to your partners and their teams. In your role, you will have contact with both internal and external stakeholders, schedule meetings, and prepare meeting materials. Furthermore, you will coordinate and arrange conferences and book extensive travel in a professional and structured manner. We seek a highly motivated and organized individual with excellent written and spoken communication skills. You will report to the Global Head of Communications and External Affairs.

Responsibilities & Tasks
  • Independently take full ownership of the calendar and foresee needs & plans ahead
  • Proactively manage and organize the calendar to safeguard and maximize the stakeholder’s time
  • Always consider relevant information, preferences and needs of the stakeholders and other team members
  • Take interest / engage in travel-related matters such as hotel agreements, policies etc. locally and globally
  • Suggests itineraries to optimize and effectively enhance traveler experience
  • Understand the full context of the stakeholder’s agenda
  • Handle and review invoices, expense and time reports to ensure correct information
  • Identify weaknesses/challenges in processes and ways of working and actively suggest changes to improve efficiency and actively share best practices
  • Support with external and internal website updates
  • Plan and execute team-related events and conferences
 
Your qualifications
  • 2-5 years of relevant experience or a similar role
  • Preferably experience of work in an international environment 
  • Experience from financial services industry or other comparable is considered a benefit
  • Experienced user of Microsoft office: Gmail /Outlook, PowerPoint, Word, Excel and Google Drive
  • Fluent in spoken and written English

As an Executive Assistant at EQT, you must be a team player who enjoys working with others and can push their work forward independently and structurally. Extent: This is a full-time position
Location: Stockholm
Salary: Fixed, monthly by agreement
